01. Orders & Payments
- Quotations are valid for 3 months from the date of issue.
- Sample orders require 100% payment upfront before production begins.
- Bulk orders require a 50% deposit before production. The remaining 50% is due before shipping.
- All payments are made by bank transfer to the IBAN provided in the invoice.
- Production begins only after payment is confirmed in our account.
02. Production Timelines
- Samples: 4–6 weeks from payment confirmation.
- Bulk production: 4–8 weeks depending on garment type, quantity, and decoration complexity.
- Exact timeline confirmed upon quote approval. Rush orders may be accommodated subject to additional fees.
03. Manufacturing Tolerances
- Garment measurements: ±3–5% variance on fit and dimensions is standard in cut-and-sew manufacturing and is not considered a defect.
- Colour variation: 5–15% variation in wash/dye treatments (pigment dye, enzyme wash, garment dye) is inherent to the process and is not considered a defect.
- Order quantity: ±10% variance on delivered units is standard industry practice. The final invoice reflects the actual quantity produced.
- These tolerances apply to all orders unless explicitly agreed otherwise in writing before production.
04. Quality Standards & Defect Policy
- All production meets EU textile safety and environmental standards.
- Every garment undergoes piece-by-piece quality inspection before shipping.
- What is NOT a defect: Variations within the tolerances stated in section 03, minor thread ends, natural fabric texture differences, slight colour variation between production batches, and characteristics inherent to garment-dyed or washed finishes. These are normal in handcrafted textile manufacturing.
- Defect claims must be reported within 14 days of delivery with photographic evidence. Claims submitted after 14 days will not be accepted.
- White Cotton will review claims within 48 hours. Verified manufacturing defects will be replaced or refunded at our discretion. Return shipping for confirmed defects is covered by White Cotton.
05. Sample Approval & Credit
- Bulk production does not begin until the client provides written approval of the sample.
- Sample garment costs are credited on bulk orders for the same garment and fit: 0% credit below 200 units, 50% credit at 200–299 units, 100% credit at 300+ units.
- Setup fees (screens, film, pattern making) are one-time charges and are never credited.
06. Cancellation Policy
- Sample orders are non-refundable once production has begun.
- Bulk orders may be cancelled before production starts — the 50% deposit is forfeited.
- Once bulk production has started, the order cannot be cancelled and must proceed to completion.
07. Accessories & Trims
- Accessories are quoted separately and subject to supplier MOQs.
- Composition and washing labels (Made in Portugal) are included free with every order.
- Surplus accessories are stored at our facility for up to 3 years at no cost and can be re-shipped on request at the applicable shipping cost.
08. Intellectual Property & Confidentiality
- All client designs, tech packs, specifications, and brand assets remain the client’s exclusive property.
- White Cotton will not reproduce, share, or use client designs for any purpose other than fulfilling the client’s orders, without explicit written consent.
- All business information, pricing, and project details shared between parties are treated as confidential.
09. Shipping & Delivery
- EU delivery: 1–3 business days. Worldwide: 3–5 business days.
- Shipping is quoted at cost with no markup. Shipping estimates may vary from actual cost.
- Incoterms: EXW Barcelos or DAP (Delivered at Place), as agreed per order.
- Risk of loss transfers to the buyer upon delivery to the carrier.
10. Returns & Limitation of Liability
- All products are custom-manufactured. No returns are accepted except for verified manufacturing defects as defined in section 04.
- White Cotton shall not be liable for any indirect, incidental, special, or consequential damages.
- Total liability shall not exceed the amount paid for the specific order in question.
11. Force Majeure
- White Cotton shall not be liable for delays or failure to perform due to events beyond reasonable control, including but not limited to natural disasters, pandemics, supply chain disruptions, government restrictions, or industrial action.
- In such events, we will notify the client promptly and offer revised timelines or alternative solutions.
12. Data Protection
White Cotton processes personal and company data in accordance with the General Data Protection Regulation (GDPR). See our Privacy Policy for full details.
13. Governing Law & Disputes
- These terms are governed by and construed in accordance with Portuguese and European Union law.
- Any disputes shall be resolved through arbitration in accordance with applicable regulations. The courts of Barcelos, Portugal shall have exclusive jurisdiction.
